When should you start planning your Christmas party?

We know it can feel a little ridiculous to start thinking about Christmas whilst in the midst of a heatwave. But so does trying to book your Christmas party in November.

Every year, the same thing happens. Summer comes to an end, Christmas starts to appear on the horizon, and companies start to realise that they need to start planning for later in the year. Unfortunately, the problem is that by this point, the venues and dates they wanted have already gone.

So, how early is actually early enough? It’s probably earlier than you think.

WHY DO CHRISTMAS PARTIES GET BOOKED SO FAR IN ADVANCE?

Christmas party season is surprisingly short.

While the festive period might stretch across several weeks, most companies are targeting exactly the same dates. Thursday and Friday evenings are always in high demand, particularly during the first two weeks of December, when people are still enthusiastic about socialising and diaries haven’t yet become consumed by family commitments and end-of-year deadlines.

That means thousands of businesses are effectively competing for the same handful of dates. The result is that availability becomes narrower, and your ideal venue on your perfect date is gone.

WHAT GETS BOOKED FIRST?

Contrary to popular belief, it’s not necessarily venues. It’s the choice.

The first things to disappear are usually the most popular dates, particularly Thursdays and Fridays. After that, it’s the opportunity to host the event exactly how you imagined it. Exclusive hire options become harder to secure. Certain room layouts may no longer be available. The ability to move between spaces or create a more tailored experience becomes increasingly limited.

That’s often the biggest frustration for organisers. They can still find somewhere to host a Christmas party, but it isn’t always the version they originally had in mind.

HAVE YOU LEFT IT TOO LATE TO BOOK YOUR CHRISTMAS PARTY?

Not necessarily. One of the biggest myths in event planning is that once autumn arrives, all the good options disappear.

In reality, there are usually still opportunities available. The question is whether you’re flexible. If the date is non-negotiable, your options naturally become narrower. If you’re open to different timings or days of the week, there’s often far more choice than people expect.

The companies that struggle most aren’t the ones booking late. They’re the ones booking late while expecting the same choices they would have had months earlier.

Before searching for venues, it’s worth envisioning what you want your event to look like.

For some, it’s a traditional dinner followed by drinks and dancing. For others, it’s a more relaxed standing reception with entertainment throughout the evening. Some want a full venue takeover that feels like a full-on party, while others are looking for something more intimate and informal.

Once you’ve decided how you want the event to feel, choosing the right space becomes significantly easier. You’re no longer looking for somewhere that can host a Christmas party. You’re looking for somewhere that can host your Christmas party.

SO, WHEN IS THE BEST TIME TO BOOK A CHRISTMAS PARTY?

The best time to start planning is usually before it feels urgent. Not because everything suddenly disappears overnight, but because the earlier you start, the more options you have to shape the event properly. Dates are easier to secure, experiences are easier to explore, and you’re not immediately having to make compromises based on what’s left.

That doesn’t mean you’ve left it too late if you’re only thinking about it now. There’s still plenty of time to get ahead. In most cases, the difference between a good Christmas party and a great one isn’t the scale or the budget. It’s simply how much room there was to make the right decisions before the options started to close down.
